This is the HELP TEXT narrative for Using Fund & Amount with Single Contributions on the Add Contribution screen and on the Modify Contribution screen.
The APPLY narrative will provide information about how to select the Fund and enter the Amount of the donation, when the donation WILL NOT be divided and applied to two or more Funds.
The MODIFY narrative will provide information about how to select the Fund and enter the Amount of the donation when they are already displayed.
Definition Single vs. Split Contributions:
A single contribution requires only one transaction to post it, but a split contribution can also be applied with just one transaction. In this discussion, a single contribution will mean the total amount is posted to a single fund. A split contribution will mean the total amount will be split and posted across multiple funds.
Example of a Single Contribution:
A single contribution is one in which the entire amount is applied to the same fund. For example, a $500 donation is applied to the General fund.
Example of a Split Contribution:
A split contribution is one in which the entire amount is divided and applied to multiple funds. The donor gave a sum but designated how it should be split and applied. For example, a $500 donation is applied as $350 to the General fund, $100 to the Building fund, and $50 to the Youth fund.
How to Apply Single Contributions:
Use this process to apply a single contribution donation (one Fund name and one Amount). It is assumed here that you have already selected the person you have to select the person BEFORE proceeding to Step 1 below.
Step 1:
Assign the contribution to a specific Fund name using the Fund drop-down list. If the Fund name displayed at the top of the list is not the Fund you want, click the arrow on the right of the Fund drop-down list to see the other Fund names available for selection. Click on one to select it for this donation.
** Note: When you setup Fund choices for your church, using the Setup Fund Categories icon, you can control which of the Funds is the default used most often so that it automatically displays first at the top of the Fund box. You only have to use the drop-down list if the default Fund (top value in the selection list) is not the one you need. If you skip this step and leave the first entry displayed, that will be the Fund you selected.
Step 2:
Enter the total contribution amount in the Total Amount box. Decimal point is not needed for whole dollars.
** Example: for one hundred dollars, enter 100
** Example: for one hundred ten dollars and fifty cents, enter 110.50
Step 3:
Proceed with the remainder of entering and posting this contribution.
How to Modify Single Contributions:
There are differences depending upon whether you are posting a new contribution or modifying (updating) an existing contribution. One difference is the Add Contribution screen will be blank and the Modify Contribution screen will already have a Fund and Amount displayed.
Another difference is, on the Modify Contribution screen a single contribution can be changed to a split contribution, and likewise a split contribution can be change to a single contribution.
If you are updating an existing single donation that was already posted and keeping it a single donation, the process works pretty much the same as described in the Apply section above. Here, however, you should see a Fund and an Amount are already displayed and you can change them following the process above.
