Email - Using the Switch to HTML Button

CAA Product Help

(HELP ?) Circles provide narratives on Training, Explanations, and Hints. These can be related to the overall screen, or to specific items on the screen.

You found the (HELP ?) Circle narrative for "Using the Switch to HTML button" by clicking the (COMPREHENSIVE HELP ?) Circle on the "EMAIL & TEXTING" Screen in MemberLink or any of the other screens related to "Email & Texting" that have this (COMPREHENSIVE HELP ?) Circle.

Before proceeding, please be sure you have previously clicked the (HELP ?) Circle that leads to the narrative on "Overview and Basics: Using the Email & Texting Function". Being familiar with the general information about the "EMAIL & TEXTING" Screen may be helpful to you.

The following information relates specifically to the "Plain Text vs. HTML" feature.

Using the "Switch to HTML" Toggle Button

As you create or build your email or texting message, the default will be "plain text" format. There will be no font choices, no options to change font size or color, etc.

However, you may use the [SWITCH TO HTML] Toggle Button to switch from "plain text" format to "HTML" format for the Message box. When you click this button, an HTML widget will appear. You will be able to select a font, a font size, and a font or background color, insert a graphic or hyperlink, etc., like you can when using an HTML formatted message.

** Note: If you want to send an email with lots of color and graphics, etc., we recommend you create your message using Word or another product and attach it as a file or PDF that your recipients can view. If you choose to use the HTML feature, the size of the transmitted message can grow and slow down the delivery. It can also increase the likelihood that spam filters may block your message and then also your future messages.

The [SWITCH TO HTML] Toggle Button is a "toggle" button. After you click it, the button changes to a [SWITCH TO PLAIN TEXT] Toggle Button. You can "toggle" back and forth between the two options.

** Warning:
If you toggle to use the HTML feature, the HTML code will remain in the message if you toggle back to Plain Text. Once you go to HTML, you will not be able to send the message via Plain Text formatting unless you take the time to remove the HTML code from the Plain Text message.
