Importing Unregistered Users Screen with Unique Identifier

Help -- Training -- Explanations -- Hints

This is the processing screen for "Importing Unregistered Users". "Step 4" in that process involves using a feature called, "Unique Identifier".

If you are using a spreadsheet to bring in additional data for people already registered, you have to provide the Unique Identifier so that the system can match the spreadsheet records (people) with the contact records (people) already in MemberLink®.

Without the Unique Identifier feature (Unique Identifier = None), all records in the spreadsheet would be Imported into MemberLink® as new people. If some of them were not new, but rather were present in the spreadsheet just to Import additional data about them, those people would be duplicated in MemberLink® if the Unique Identifier feature is not used.

If you want to Import data about people already in MemberLink®, you have the following Unique Identifier format options for Import:

- "Lastname, Address1, Firstname" is the option that will use the First & Last Names plus Address1 to attempt to match spreadsheet records with MemberLink® records. If a match is found, the columns in the spreadsheet will replace those data fields for that person in the system. If data fields were already in the system, they will be changed to match the spreadsheet. If data fields for that person were not already in the system, they will be added.

- "Member ID" is the option that will use the Member/Employee ID# to attempt to match spreadsheet records with MemberLink® records. If a match is found, the columns in the spreadsheet will replace those data fields for that person in the system. If data fields were already in the system, they will be changed to match the spreadsheet. If data fields for that person were not already in the system, they will be added.

** Note: The spreadsheet can have new people as well as people to match with the Unique Identifier. The new people in the spreadsheet will not be found in the system, and will be added as new contact records. Matching records will be updated, unmatched records will be added as new.
